Flywire - handle cancellation of a guaranteed payment

In exceptional circumstances, it is possible that a guaranteed payment received from Flywire might be subsequently cancelled. For example, as a result of a fraud investigation.

In this scenario, ebs will already have created and completed a matched Receipt record. Rather than automatically try and delete or reverse this receipt, ebs will send an email alert so that the record can be manually adjusted by a staff member as appropriate.

To support this changes there is

  • A new institution setting: ePayments (common) > Staff email contact for cancelled epayments.

  • A new email template: Authorised payment cancellation (FLYWIRE_EPAYMENT_CANCELLED)

Flywire IP security restrictions

As an additional security measure, when integrating with Flywire, the existing institution setting Payment process allowed ip addresses -(empty=allow all) can be populated with a comma separate list of IP addresses, that will be supplied by Flywire. Once set, Flywire e-payments receipts will only be created in ebs if the incoming api calls originate from one of the supplied IP addresses.

UCAS Disabilities reference data screen

A new reference data screen, UCAS disability has been introduced that allows UCAS disability codes to be mapped against ebs support needs reference data.

UCAS application data used to create support needs data

The UCAS import process has been extended to create Support needs data for UCAS applicants who have declared disability information within their application, based on the data code mappings defined in the UCAS Disability reference data screen. Where additional needs have been supplied, these will be added to the Notes information on the support need record.

UCAS HE delete old downloaded data

When processing UCAS applicant data, ebs stores a copy of the raw data provided by UCAS before creating standard ebs People and Application data. This raw data may include applicant and choice information for applicants who did not end up studying at your institution.

A new institution setting UCAS HE Delete downloaded data for records older than allows a date to be specified. Any raw UCAS data that was last updated before this date will be deleted as part of the scheduled UCAS workflow process.

Note that this process will not delete standard people and application data that is visible in the ebs screens.

UCAS Criminal convictions

If a UCAS application is imported and the applicant has declared a criminal conviction, the learner Criminal Conviction flag will be checked in ebs.
