Appendix - Continuing Enrolment Examples
Continuing enrolments can be classed as the following:

The enrolment has:
-
A Progress Code with a Progress Type = ‘A’ ('Active')
and
-
A mapped Completion Status = ‘1’
and
-
A Planned End Date that falls within a funding year that is prior to the one being generated for
The Planned End Date is sourced from:
-
People Units Special.Aim End
if blank then use
-
UIO Qual Aims.End Date
if blank then use
- Unit Instance Occurrences.Qual End Date
-
‘Break in Learning’ and ‘Unknown Outcome’ have been temporarily removed from Continuing Enrolments as of 4.30 Service Pack 3, and will be re-instated in a future ebs release.

The enrolment has:
A Progress Code with a Progress Type = ‘F’ (‘Completed’)
and
A mapped Completion Status = ‘2’
and
An Outcome = ‘8’
and
- The Progress Date falls within a funding year that is prior to the one being generated for

The enrolment has:
A Progress Code with a Progress Type = ‘W’ (‘Withdrawn’)
and
A mapped Completion Status = ‘6’
and
An Outcome = ‘3’
and
- The Progress Date falls within a funding year that is prior to the one being generated for
For a Learner Aim or Prog Aim to be generated for a funding year, the UIO_QA must exist in an associated UIO against an enrolment for the funding year that is being generated.
Enrolment is not always classed as continuing, and learner and programme aims can still be generated without using continuing enrolment.
Learner aims and programme aims are still generated if the enrolment has:
-
A Progress Code with a Progress Type in ‘F’ (‘Completed’), ‘W’ (‘Withdrawn’) or ‘T’ (‘Transferred’)
and
-
The Progress Date falls within a funding year that is being generated for or falls within a future funding year
or
-
A Progress Code which has a Progress Type = ‘A’ ('Active')
and
-
The Planned End Date falls within a funding year that is being generated for or falls within a future funding year
end if
-
The Enrolment has a Progress Code that has a Progress Type = ‘N’ ('Non Starter’)
then
-
The generation ignores the enrolment
The following examples show enrolments that are not classed as continuing:
-
Example 1
Learner X would not be considered as having continuing enrolment when generating for funding years A to C, but would be considered as having a continuing enrolment for any funding year beyond year C, as the planned end date is within funding year C. If the completion status = ‘1’ in the Funding Year > Funding Year C, then the Include continuing enrolments from previous funding year check box should be selected on the ILR Processing screen.
-
Example 2
Learner Y would not be considered as having a continuing enrolment when generating for funding years A and B, as the progress date falls within funding year B. To generate records for funding year C and beyond, the Include continuing enrolments from the previous funding year and Include 'Unknown Outcome' Learners check boxes should be selected on the ILR Processing screen.
-
Example 3
Learner Z would not be considered as having a continuing enrolment when generating for funding year A, as the progress date falls within funding year A. To generate records for funding year B or C and beyond, the Include continuing enrolments from the previous funding year and Include 'Break In Learning' Learners check boxes should be selected on the ILR Processing screen.
