How to report an absence

If your institution has enabled the feature, you can report absences using the Report an Absence screen.

To record an absence:

  1. Select your absence dates:

    • If you were absent for one full day or part of a day, select the single date.

    • If you were absent for multiple full days, select the start and end dates.

    • If your absence includes partial day(s) and full day(s), record them separately.

  2. Select Next, if you selected a single date, the Is this absence for a whole or part of a day? screen appears and shows your timetable for that day.

    • Choose Full day or Part of the day.

    • If you select Part of the day, enter the start and end times.

    The sessions you will miss appear in the right-hand panel.

  3. Select Next to display the Please select a reason screen.

    This screen does not appear if you selected Part of the day and the relevant usage code does not have the Partial option enabled.
  4. Select a reason from the drop‑down list.

  5. If evidence is required, drag and drop the file into the upload area or select the upload area and browse for the file.

    To view uploaded evidence later in Learner Details > Learner Docs & Comms, ensure the ABSENCE document type is added to reference data.

    If you upload the wrong file, select Remove evidence.

  6. Select Next, then a summary of the absence appears, along with your current attendance levels.

  7. Select Submit Absence.

Any evidence you uploaded will also appear on the Evidence screen after submission.
